What data we process
1. Your SharePoint data
When you connect Portana to a Microsoft 365 tenant, the application reads and writes the SharePoint list records you choose to operate on (import, update, duplicate review, delete, restore). This processing happens on your device and against your SharePoint environment under your own Microsoft 365 credentials. We do not receive or retain copies of this content.
2. Authentication data
Portana authenticates against Microsoft 365 using Microsoft's identity platform. Authentication tokens are handled by Microsoft's libraries and stored securely on your device. We do not see your Microsoft password.
3. Account & licensing data
To provide paid plans and support, we may process: your Microsoft 365 sign-in identity (such as your work email), organization name, and subscription/license status. Portana's licensing service issues a signed subscription envelope tied to your Microsoft identity so the app knows whether you're on Free or Paid. Payments and billing identifiers are handled by Stripe; we do not store your card details.
4. Support data
If you contact support, we process the information you provide (messages, app version, Windows version, screenshots).
5. Diagnostic data (if enabled)
We may collect limited, anonymized telemetry (app version, feature usage, crash reports) to improve reliability. Opt-in only

- SharePoint content: not retained by us; it remains in your SharePoint.

Sharing & sub-processors
We may share limited data with service providers acting on our behalf, such as:
- Microsoft - identity and SharePoint platform (your environment).
- Stripe - subscription billing and payment processing.
- support@programini.com - communications.
These providers process data under contractual data-protection commitments. We do not sell personal data.
International transfers
Where data is transferred outside your region, we rely on appropriate safeguards such as Standard Contractual Clauses. Europe

Children
Portana is a professional tool and is not directed to children under 16.
